Quotations, invoices & ZATCA

From quotation to tax invoice

Reps quote from the price book with VAT worked out. Someone else approves it. Orders, invoices and credit notes follow, with buyer tax details checked before ZATCA sees them, and Odoo kept in step if you use it.

  • Price book

Products with specs, highlights and an image. Lines come from the price book or free text, with per-line discounts held to each product's maximum.

  • VAT on every line

Totals include VAT, 15% by default. Quotations carry a valid-until date and can be re-issued as a new draft once they expire.

  • Approval by someone else

Send a quotation for approval, take it back, or decide one. Nobody approves their own.

  • PDFs in English or Arabic

Download quotations, invoices and credit notes as PDF in either language.

  • ZATCA QR on every invoice

Each issued invoice and credit note carries the QR code with seller, VAT number, time and totals.

  • Odoo 16, 17 and 18

Send customers, products, quotations, invoices and credit notes to Odoo, and read back its numbers, states, payments and ZATCA fields.

The commercial path

One document, from offer to invoice

Each step is checked by the API, so a document reaches the next stage only when it is ready for it.

1

Build the quotation

Pick price-book products or write free-text lines, set discounts within each product's limit, and see the totals with VAT. A printable view and the PDF are one click away.

2

Approve it

Quotations at or above the organisation's threshold go for approval, and with the default threshold every one does. The approver sees it waiting on Today; never the person who wrote it.

3

Order, invoice, credit

Accepting a quotation claims the deal's win, pending approval. Orders are confirmed, started and delivered. Invoices are issued and paid; credit notes are raised by lines or by an amount, with a reason.

Watch the flow

Quotation, approval, Odoo, cleared invoice

A quotation is approved, goes to Odoo, and comes back as a ZATCA invoice with its QR code.

The specifics

Tax details, ZATCA and Odoo

01Buyer tax details on the company
The buyer VAT number in its Saudi form (15 digits, starting and ending with 3), a buyer ID with one of ZATCA's 11 schemes, and the national address. Wrong shapes are refused on the field.
02Standard or simplified
A company with a VAT number gets a standard (B2B) tax invoice, cleared by ZATCA; one without gets a simplified (B2C) invoice, reported. Before issuing, Zaps says which, and what ZATCA would still refuse.
03Exactly one issuer
Each tax document is issued and reported to ZATCA by one system: Zaps or Odoo. The setting is frozen on every invoice, and Zaps refuses to post to Odoo an invoice that Odoo would report a second time.
04What goes to Odoo
Companies become partners, products become Odoo products, quotations become sales orders, invoices and credit notes become Odoo invoices and refunds. Automatic sending, order confirmation, posting and payment import are each a setting.
05Read back, logged
Zaps reads back Odoo's numbers, states, payment states and ZATCA fields, and Odoo's QR when Odoo is the issuer. Administrators see the sync log, kept 90 days, and Sync now.
06Never deletes in Odoo
Zaps never deletes anything in Odoo. A document is rewritten there only while it is a draft; after that, a push only reads it back.

Tested against ZATCA's sandbox, not certified

ZATCA phase 2 is built to the published specification and tested against ZATCA's developer-portal sandbox. It has not yet been run in ZATCA's simulation or production environments, and stays off until an organisation onboards its unit. Zero-rated, exempt and export invoices are not supported. Commerce is a module the organisation switches on.

Questions

Is Zaps certified by ZATCA?

No. Zaps' phase-2 e-invoicing passed every step against ZATCA's developer-portal sandbox, with no errors or warnings. ZATCA's simulation and production environments have not been exercised yet.

We already report to ZATCA from Odoo. Will invoices be reported twice?

No. Choose Odoo as the issuer and Zaps makes no QR, signs nothing and reports nothing; Odoo posts and reports, and its QR is copied back. If Zaps is the issuer and Odoo's e-invoicing is installed, Zaps refuses to post the invoice in Odoo.

Which Odoo versions work?

Odoo 16, 17 and 18, self-hosted or Odoo Online, through Odoo's documented external API with an API key. Odoo 19's newer API is not used.
