From the site to the quotation
Zaps helps teams that sell to contractors on sites that move. Pin the site, exactly or approximately, check in with a photo, and send a quotation that has been approved.

Site visits that count
Plan an on-site meeting at the project, check in against its pin and record who was there from the contractor's side.
Exact or approximate
A site office gets an exact 50, 100 or 150 m radius. A project still taking shape gets 500, 1,000 or 2,000 m, marked as approximate.
The site photo
Take the photo with the phone camera right after check-in. If your company requires it, check-out asks for it.
Quotations with lines
Products from the price book or free-text lines, quantities, a discount per line within its limit, and 15% VAT on the total.
Approved before it goes out
Quotations (every one by default, or above a total you set), win claims and out-of-radius check-ins wait for someone else. Nobody approves their own.
Office check-ins
Starting the day at the office or the yard checks in against that office and its circle, with the distance shown.
A site visit
Pin, photo, minutes, quotation
What the rep saw on site and what the client asked for end up on the same record.
Pin the site
Paste the Google Maps link the contractor sent, or coordinates, or use your position at the gate. Choose an exact or an approximate radius.

Check in with the photo
Check in on arrival, take the site photo, and record the minutes by voice: requirements, objections and competitors are pulled out for you.

Quote the order
Build the quotation from the price book with quantities and 15% VAT. Unless it is below your approval threshold, it waits for approval before it is marked sent.

Back at the office
Check in at the office against its circle. The day's office and site time both show in attendance.

The visit
Check in, photo, minutes, who was there, outcome, check out
Every site visit follows the same checklist, so the evidence is there when someone asks.
The specifics
What helps on a building site
- 01Approximate is said out loud
- A pin from an address or a rough link is marked approximate, so nobody mistakes it for an exact location.
- 02Outside the circle
- A check-in outside the radius is still recorded, with a reason, and goes to a supervisor as an exception.
- 03Site survey as a type
- Attendance includes a site survey type by default, and your administrator can add your own types in English and Arabic.
- 04Photos kept small
- The phone shrinks the photo to at most 1,600 px before uploading, which helps on a weak site signal.
- 05Validity and re-issue
- Quotations carry a valid-until date, show when they have expired, and can be re-issued as a new draft.
- 06PDF in English or Arabic
- Download the quotation, invoice or credit note in the language the client reads.

What needs switching on
Quotations, orders and invoices are part of the commerce module, which your administrator switches on. Site visits, photos, check-ins and approvals work without it.
Questions
What if the site has no address yet?
Use your current position at the gate, or an approximate radius of up to 2,000 m. The meeting shows the pin as approximate.
Can a quotation go out without approval?
By default every quotation is sent for approval and decided by someone other than its author. Your company can set a total below which no approval is needed. Discounts above a product's maximum are refused on the line.
