Calendar & meeting prep
Walk in already briefed
Connect your own Google or Microsoft 365 calendar. Your events become meetings in Zaps, Zaps meetings land in your calendar, and before each one you get a brief built from what you can see.

Google and Microsoft 365
Each person connects their own calendar from Account, Connections. A broken connection says so and offers Reconnect.
Choose what comes in
Turn on Bring my calendar's events into Zaps and pick the calendars. The primary one is selected by default.
Badged by origin
Imported meetings carry a From your calendar badge, so nobody mistakes them for meetings planned in Zaps.
Transcripts after the call
When you allow it, Teams and Google Meet transcripts join the meeting's notes and are summarised like a voice note.
Meeting prep
Who is coming and their roles, recent emails, open deals and quotations, follow-ups, and how the last meeting ended.
Ask about this meeting
One tap opens Ask Zaps with the meeting already in context. Ask what to bring up, or what was promised last time.
From calendar to meeting room
Your calendar, with the CRM behind it
Time, title and attendees come from the calendar. What Zaps adds, the company, check-in, notes and outcome, stays in Zaps.
Connect your calendar
Connect opens Google's or Microsoft's consent page and brings you back with a clear result. Tick Also bring in meeting transcripts if you want them.

Events become meetings
Upcoming events for the next 30 days arrive as meetings. A Teams, Meet or Zoom link makes it a video meeting; colleagues become participants and everyone else a guest.

Prep before you go
Prep meeting on Today writes a brief in your account's language: the people and their roles, the latest emails, open deals, quotations, follow-ups and the last outcome.

The transcript joins the notes
After a Teams or Google Meet call, the transcript appears under the meeting's notes with a summary and follow-ups, the same way a voice note does.

The specifics
How the calendar and Zaps stay in step
- 01The company is matched for you
- Zaps finds the company from the attendees' email addresses. With no match, the event comes in as an internal meeting.
- 02Changes follow
- When an event moves or is cancelled in the calendar, the meeting in Zaps follows. Events Zaps put in your calendar are not imported again.
- 03Zaps meetings in your calendar
- A meeting you plan in Zaps is written to your calendar in the background. A video meeting with no link gets a Meet or Teams link.
- 04Its calendar status, on the meeting
- The meeting says whether it is in your calendar, being added, or not there yet, with Open in calendar and the provider's own words when something fails.
- 05A brief from your reach only
- Meeting prep uses only what you may see: your records, and colleagues' email only as they share it. It is kept per person and per meeting.
- 06Set up once by an administrator
- Google and Microsoft sign-in are configured in the admin console. A provider the company has not set up is not offered.

What it does not do
Imported meetings are never written back to your calendar, recurring series beyond the 30-day window are not imported, and Zaps does not add attendees to calendar entries. Meeting prep, summaries and Ask Zaps need an AI service set up by your administrator.
Questions
Can Zaps change my calendar?
Only for meetings planned in Zaps, which it adds to your calendar. Events imported from your calendar are read, never written back.
Do I have to bring in every calendar?
No. You choose which calendars to bring in, and you can turn the import off or disconnect at any time. Disconnect asks you to confirm first.
What if a transcript cannot be fetched?
The meeting keeps the usual path: record a voice note or type the minutes, and Zaps transcribes and summarises them.
